[Effective date: date of publication]. Last updated: [same date].

This policy explains what personal information we collect when you visit legacycustoms.co, contact us, or bring us your vehicle, how we use and share it, and the choices you have.

1. What we collect

  • Contact details: name, phone number, email address and, for invoices, billing address, and, if you book collection or delivery, the address we collect your vehicle from or deliver it to.
  • Vehicle details: year, make, model, color, VIN, license plate, odometer reading, condition, and the work you want or we perform.
  • Photos and video: images of your vehicle that you send us, and condition and progress photos and video we take at drop-off, during the work and at pickup.
  • Job records: quotes, your signed approval and Terms, invoices, warranty records and product registrations.
  • Payment details: card payments go through a third-party payment processor, and ACH and wire transfers go directly to our bank. We see the amount, date and payment method, the last 4 digits of a card and, for bank transfers, the sender details our bank provides. We don't ask for or store full card numbers; please pay through the payment link and don't give card details by text, email or on a call.
  • Communications: emails, texts, chat and form messages, call notes and, if we record calls, call recordings and any transcripts (see section 7). Some replies to texts, chats and messages are drafted or sent by an automated assistant on our behalf.
  • Online and device data: IP address, device and browser type, cookie and advertising identifiers, pages viewed, clicks, form activity, approximate location (city level, from IP), and the ad, search or link that brought you to us. We also collect the source of calls and form submissions (for example, which ad or page led to a call).

We do not ask for sensitive information such as Social Security numbers, health information or precise GPS location. Please don't send it to us.

2. Where it comes from

  • From you, when you fill in a form, message, call, book or visit the studio.
  • From your vehicle, when we inspect, photograph and record it.
  • Automatically, from your browser or device through cookies, pixels and tags on our website.
  • From advertising and social platforms, for example when you click our ad or send us a lead form or message through Meta (Facebook, Instagram), Google or TikTok.
  • From others, such as a person who refers you, a dealer or insurer you ask us to work with, or a product maker for warranty purposes.

3. How we use it

  • To answer you, quote, book, perform and invoice the work, and handle warranty claims.
  • To keep a record of your vehicle's condition and our work.
  • To send service messages about your quote, booking, vehicle, payment or warranty.
  • To send marketing texts or emails only if you opted in. Each one has a way to opt out.
  • To register product warranties with the maker (your VIN and installation date go to the maker).
  • To run, secure and improve our website, and to understand which pages, calls and forms work.
  • To advertise: to measure our ads, show our ads to people who visited our site or contacted us (retargeting), and find people with similar interests (see section 5).
  • To prevent fraud, resolve disputes, enforce our Terms, and meet legal, tax and record-keeping duties.

4. Who we share it with

We do not sell your personal information for money. We share it with the recipients described in this section. The service providers that help us run the business may use it only to provide their service to us:

  • our booking and job management system
  • our customer messaging, phone and email systems
  • our payment processor
  • our accounting and bookkeeping provider
  • our website host, analytics, and call and form tracking providers
  • marketing and website agencies that work on our accounts
  • our bank, for ACH and wire payments
  • independent technicians and outside specialists who work on your vehicle (Client Terms section 14)

Product makers. Makers of the film or coating we install receive what they need to register and handle your product warranty, and use it under their own warranty terms and privacy policies.

Advertising platforms. Our website uses tools from Meta, Google and TikTok. These companies receive online and device data (and the email address you enter in a form, in coded, "hashed" form) to measure and deliver our ads. They may also use it under their own privacy policies, for example to improve their ad services. Under some state privacy laws this counts as "sharing" for targeted advertising, or as a "sale", even though no money changes hands. You can opt out (section 6).

Customer lists for ads. We may upload the email addresses (not phone numbers) of customers and inquirers to Meta, Google and TikTok in hashed form (converted into a code before upload). Hashing doesn't make it anonymous: the platforms match the code to their own users so we can show our ads to them, leave them out, or find people with similar interests. We leave out anyone who has opted out of targeted advertising, sale or sharing, anyone who has stopped our texts, unsubscribed from our marketing emails or hasn't agreed to marketing, and anyone we know to be under 18. To be left out, email hello@legacycustoms.co, call (754) 349-6737 or use the "Your Privacy Choices" link; we apply it before our next upload and remove you from existing customer audiences within 15 business days.

We also share information where the law requires, to protect our rights, for example in a payment dispute, with a dealer, insurer or other person you ask us to share with, or with an affiliate, buyer or successor if our business is sold or reorganized. We do not share mobile phone numbers, text-message opt-in data or consent with third parties or affiliates for marketing or promotional purposes, and none of the sharing described in this policy includes them.

Photos. Condition photos and video stay in our records, and we share them only where needed for a warranty claim, a payment or other dispute, or as the law requires. We may use photos and video of your vehicle in our marketing, with plates and faces blurred. You can opt out at any time by emailing hello@legacycustoms.co; we then stop new use, and posts we control come down within 7 days (Client Terms section 11).

5. Cookies, pixels and tags

Cookies are small files saved by your browser. Pixels and tags are small pieces of code that report what happens on a page. We use:

  • Essential: needed for the site and forms to work and stay secure.
  • Analytics: for example Google Analytics, to see how visitors use the site.
  • Advertising: Meta Pixel and Conversions API, Google Ads tags and TikTok Pixel, to measure ads, retarget visitors and build audiences. The Conversions API sends some events from our server, so it works even when browser cookies are blocked; your opt-out (section 6) applies to it too.
  • Call and form tracking: to see which ad or page led to a call or form.

When you first visit, a cookie notice tells you about these tools and lets you accept, reject or choose non-essential cookies. You can change your choice at any time through the "Your Privacy Choices" link in our site footer.

6. Your advertising choices

  • "Your Privacy Choices" link: turns off advertising cookies and stops us sharing data from this browser for targeted advertising, including through our server-side tools. You don't need to give us your name, email or phone. To apply your choice to our customer records too, give us your email or phone.
  • Customer list opt-out: email or call us (section 14) to be left out of customer-list uploads.
  • Global Privacy Control (GPC): if your browser sends a GPC signal, we treat it as an opt-out of targeted advertising, sale and sharing for that browser. We don't respond to the older "Do Not Track" browser setting. Subject to your choices, our advertising partners may collect information about your activity on our site and on other sites and apps over time.
  • Browser controls: you can block or delete cookies in your browser settings. Some site features may not work without them.
  • Platform settings: Meta: facebook.com/adpreferences. Google: myadcenter.google.com. TikTok: in the app under Settings and privacy, Ads.
  • Industry tools: optout.networkadvertising.org and optout.aboutads.info. These work per browser and device.

Opting out of targeted ads doesn't stop all ads; you may still see ads that aren't based on your activity.

7. Calls

Calls to and from us may be recorded. A message at the start of each call tells you this. If you'd rather not be recorded, tell us and we'll continue without recording, for example on an unrecorded call back, or you can hang up and email us. We use recordings and any transcripts for quality, training, accurate job records and resolving disputes, and keep them for up to 1 year unless needed for a dispute.

8. Texts and emails

Reply STOP to any text to stop all texts from us to that number. We will send one message confirming you have opted out. After that, we reach you by phone or email about an active job. You can also opt out by telling us in any other reasonable way, such as by email or phone. Reply HELP for help. Marketing texts are sent only with your consent, and agreeing to them is never a condition of buying from us. Msg frequency varies. Msg & data rates may apply. See our SMS Terms. Use the unsubscribe link in any marketing email to stop marketing emails.

9. How long we keep it

We keep your information for as long as we need it to serve you, honor warranties and meet tax and legal record-keeping duties, then delete or anonymize it. We keep written estimates and invoices for at least 12 months, as Florida law requires, and job and warranty records for at least the length of any warranty. Inquiries that don't become a job are kept for up to 2 years from our last contact about them, unless the law requires longer. Call recordings are kept for up to 1 year unless needed for a dispute. We keep a short record of opt-outs and consent choices so we can keep honoring them, even after other records are deleted. Advertising and analytics data is kept under the platforms' own settings and our account settings.

10. Security

We use reasonable safeguards for a business of our size, including reputable providers and access limited to the people and providers who need it, and we securely delete records we no longer need. No system is perfectly secure. If a breach affects your personal information, we'll notify you as Florida law and any other applicable law require.

11. Children

Our services are for adults and aren't directed to children under 13. We don't knowingly collect personal information from children under 13. If you think we have, contact us and we'll delete it.

12. Your rights

You can ask us to:

  • tell you what personal information we hold about you and give you a copy;
  • correct it;
  • delete it, except what we must keep for warranties, disputes or legal and tax duties;
  • stop using it for targeted advertising, sale or sharing.

Some state laws give these rights only for businesses above certain size limits. We honor these requests for all customers where we reasonably can, and as the law requires where it applies.

How to ask: email hello@legacycustoms.co with "Privacy request" in the subject, or call (754) 349-6737. To protect you, we verify your identity by matching details we already hold (such as your phone, email or a recent job) before we act on access, correction or deletion requests. Advertising, sale and sharing opt-outs don't need verification. An authorized agent may ask for you with your signed permission. We reply within 45 days and will tell you if we need more time. We won't treat you differently for using your rights.

Appeal: if we refuse your request, you can appeal by replying with "Appeal" in the subject. We'll answer within 60 days. If you're still unhappy, you can contact your state attorney general.

13. Changes

We may update this policy. We post the new version here with a new effective date, and for material changes we'll give notice on our website first. We won't use information we already hold in a materially different way without your consent.
